Dynamic Program Manager Wanted!

Summary of Duties, Responsibilities,

and Goals


A responsible, systematized leader to manage our programs under the mission of angel faces. To organize and lead our creative educational and healing retreats for adolescent girls and young women who have endured a traumatic experience that has left them physically (and emotionally) blemished. This is a salary position based on less than full-time (30 hours per week) with possible option to work remotely. Must have experience in program design and managing multifaceted specialized retreats. Experience in the field of burns and trauma helpful. AngelFaces.com.


1. QUALITY PROGRAM IMPLEMENTATION AND SUPPORT OF RETREATS

Delivers high-level program management and successfully performs program tasks in maintaining the existing retreat formats and subsequent after programs.


Program management

  • Updates and creates templates and high-quality presentation materials

  • Proofreads and edits documents for proper grammar and spelling prior to delivery

  • Retrieve files and documents; scan and photocopy documents relating to the programs

  • Self-directs and balances the multiple priorities of the position to ensure continuous monitoring, communication, and successful completion of work. (Cell Phone/Email/SM)

  • Takes initiative to manage, schedule, and prioritize tasks to balance the multiple needs of the supervisors; seeks input from supervisors to prioritize goals or tasks

  • Monitors completion of tasks and proactively update supervisors of the status of completion

  • Maintains professional appearance and communications, verbally and in writing

  • Maintains confidentiality of sensitive business and employee information; handles sensitive documents with discretion and sound judgment



2. PROGRAM MANAGEMENT

Delivers high-level leadership and governance to successfully manage, maintain and implement the Angel Faces retreats, both regional and annual (R/A).


Angel Faces Retreats (regional and annual)
  • Performs tasks related to full retreat preparation and follow up

  • Assist with recruitment of retreat participants and volunteers; track and follow up.

  • Works closely with Burn/trauma and rehabilitation centers to recruit patients (current and past)

  • Design and distribute announcements and communications regarding retreat dates and applications (via email, social media, Constant Contact, and direct contact)

  • Process all participant and volunteer applications received

  • Maintain and track participant information and records in Dropbox

  • Schedule pre-retreat trainings and meetings for volunteers and contracted support staff

  • Coordinate travel arrangements for all participants and volunteers; requires frequent communication with participants and/or parents

  • Purchasing of retreat supplies; maintain established and seek new relationships with key vendors

  • Track fees due from participants and/or sponsoring agencies or individuals; follow up on fees due and keep information current in budget spreadsheet; keep principals informed

  • Update and maintain retreat budgets. Tracks all retreat specific expenses

  • Proactively assist Founder in communicating with volunteers regarding roles and responsibilities

  • Oversees all contracts with rentals and professional services such as Mental Health Professionals

  • Works with investigative agency to perform background checks on volunteers and sub-contractors

  • Attends retreats, leads and coordinates all areas of operations. Works with Administrative Assistant to set up a remote office on-site and set up all A/V equipment

  • Oversees all administrative tasks during the retreat (budgets/flights/expenses)

  • Oversees registration; check-in/out set up and processing

  • Assists founder on scheduling and coordination the retreat’s day to day program

  • Performs post-retreat activities and tasks (inventory supplies back to storage)

  • Coordinates update of website with photos and information re retreats

  • Ensuring volunteers are reimbursed for expenses

  • Assists with preparing and mailing thank you letters and gifts to major donors

  • Creates, distributes, and collects all evaluations post-retreat (Survey Monkey)


Overall Program Support
  • Maintain effective system (Monday.com) for tracking and recording all charts, schedules, applications, and documents

  • Maintains all receipts and invoices related to program

  • Operates within and updates Program budgets

  • Track, compile, and report accounting information on a monthly basis; disseminate reports seeking support for Development and Fundraising

Education, Prior Work Experience, Specialized Skills

and Knowledge

  • Must have a minimum of 3 years experience providing project management

  • Must have a passion for the mission of Angel Faces

  • Experience working in a nonprofit setting highly preferred but not required

  • College degree preferred but not required

  • Must have excellent grammar, editing, and proofreading skills

  • Must have excellent organizational skills and initiative to self-lead

  • Must have experience maintaining and implementing an organized electronic filing system

  • Must have positive attitude, integrity, and sound judgment

  • Must have excellent communication skills (both verbal and written), including the ability to interact effectively, appropriately, and compassionately with the public, volunteers, and staff

  • Ability to work well under pressure and adapt quickly to changing situations and priorities

  • Deadline and results-oriented

  • Proficient with MS Office, social media, Dropbox, Donor Snap, Constant Contact, Monday.com

  • Strong networking, negotiation, and interpersonal skills


Expected Work Hours

This is a salaried position based on 30 hours per week; Mon - Thurs from approximately 8:30 to 4:00 p.m. Working remotely is an option for discussion. Must have some level of availability and accessibility to ensure critical workflow continues. Availability to attend retreats (out of town eleven days off-site for annual retreat and seven days each for two regional retreats). Occasional availability for meetings or events outside of these hours; mornings, evenings, or weekends.


Compensation range

$42K - $48K. Based on experience, knowledge, and qualifications.


Travel

Occasional travel for retreats, meetings, and/or conferences
